Study Support for approved courses

The Study Support process is covered by Clause 44: Study Leave of the Curtin University Academic, Professional and General Staff Enterprise Agreement 2012-2016

Staff holding continuing appointments or fixed-term contracts of more than 12 months are eligible to apply for study support for a course of study approved by the University.  Study support for part-time staff is determined on a pro rata basis in line with their employment fraction.

Study support can take the form of study leave and/or fee support. The type and amount of study support provided is dependent upon a number of factors, including the time required to complete the course and the joint investment of the staff member.

STUDY LEAVE

Study leave is an approved period of time away from normal duties granted for the undertaking of relevant study. Staff may apply for study leave up to a maximum of five (5) hours per week on full pay, inclusive of travelling time.  Approval of study leave is subject to a formal study load at least equivalent to the duration of the study being undertaken during the staff member’s non-working hours. 

Study leave may be used for one or more of the following purposes during a staff member’s normal working hours:

  • attendance at and participation in lectures, tutorials and examinations in a course of study approved by the University;
  • participation in collaborative research or web-based learning in an on-line course of study approved by the University; and
  • other study activities approved by the University.

Study leave may be granted for

  • tertiary undergraduate and postgraduate courses;
  • vocational education and training (VET) diploma or certificate courses or nationally recognised courses provided through a Registered Training Organisation (RTO); and
  • professionally prescribed courses offered through professional affiliations.

Any study leave granted normally applies to teaching period/semester weeks only.  Where weekly study leave is not practicable, application may be made for the equivalent study leave to be taken in blocks of time appropriate to the course’s mode of delivery and activities such as field work placements or other formal components of the study program.

All applications for study leave should be made on the relevant form before starting the course/unit of study to allow sufficient time for consideration of the application and the impact on the work area.

All study leave approvals are subject to the staff member successfully managing work and study commitments and maintaining satisfactory performance in the work area as determined by the line manager.

FEE SUPPORT

Staff may apply for a contribution to course fees (Student Contribution Amount or full fees) for approved study undertaken at Curtin provided they do not hold a scholarship or other form of grant for the purpose of the study.

The student contribution amount is the payment made by the enrolled student towards the cost of a Commonwealth Supported unit of study.

Full fees are the cost of units of study that:

  • are not Commonwealth supported; or
  • are the full tuition fees set by the education provider.

Where a course is not offered at Curtin, fee support for study through another education provider may be approved.

Where a staff member has previously received fee support from the University, the approval of any subsequent application is subject to successful completion of the course/unit(s) for which fee support was received.  

Payment of fee support is confirmed on evidence of enrolment and fees payable being provided at the time of application or as soon as possible thereafter.

All applications for fee support should be made on the relevant form before starting the course/unit of study to allow sufficient time for consideration of the application and the impact on the work area. If fee support payments are approved for study at an institution other than Curtin, areas are responsible for arranging payment (please note that fees cannot be paid using a corporate card). If areas are unsure of how to process payments, please contact Financial Services.  

A staff member in receipt of fee support who withdraws from a unit(s) or course prior to the financial penalty (Census) date or fee payable date must advise the Head of School/Area immediately.

Application Form

  • All approved documentation to be scanned and emailed to Human Resources (HR) and/or Student Administration and Fees (SAaF) by the relevant organisational unit (as per below instructions)
  • Payment of any fees for study at other institutions must be made by the School/Area/Faculty before sending the application forms to HR
